WhatsApp appointment reminders for nail techs, barbers and lash artists
By the DaySync team. Drafted with Lissa, our AI writing assistant.

Your client books a manicure on her lunch break. By evening she has answered forty messages, collected a parcel and agreed to dinner on Saturday. The booking is still on your calendar, but she has forgotten it.
A reminder costs you nothing at the moment it matters, because it goes out without you. Writing it by hand between two clients is the part that gets skipped.
What a client receives
DaySync sends a confirmation when a booking is made, a notice if the visit is moved or canceled, and reminders 24 hours and 2 hours before the visit. Each message goes by email, and by WhatsApp when you turn WhatsApp on. DaySync does not send SMS.
It works the same for a booking a client makes from your link and for one you add yourself at the front desk. Email needs the client's email address and WhatsApp needs their phone number, so a client record with only a name gets neither.
A booking made after a reminder's time skips that reminder. If a client books at 10:00 for 11:00 the same day, the 24-hour reminder never goes out and only the 2-hour one does.
- 1The client booksConfirmation by email, and by WhatsApp if it is on.
- 224 hours beforeFirst reminder.
- 32 hours beforeSecond reminder.
- Plans changeThe client moves or cancels the visit; you get an alert, and the client gets a notice.
What a client can change without messaging you
The confirmation and reminder emails link to the client's appointment page on your booking site. There, Change opens a menu with Move to another time and Cancel visit, as far as your cancellation window allows. You set that window in the app under online booking settings; the default is 24 hours.
So a client who can't make Thursday picks another time from your open slots. You see the move in your alerts, and the old slot is free again. Nobody has to negotiate a new time over a long WhatsApp thread while you have foils on someone's head.
Replying to a reminder message does not change the calendar. Tell clients to use the link, and test it once as a client: make a booking with your own email, open the appointment page and press Change.
Credits, and what happens when they run out
WhatsApp messages use credits. Pro includes 120 credits a month and Business includes 300. Free has no included credits and buys credit packs. The number of credits one message costs depends on the client's country; the app lists it under WhatsApp prices by country, so 120 credits is not a promise of 120 messages.
Monthly credits renew with your billing month, and packs you buy are used after them and carry forward. When credits run out, WhatsApp pauses and email keeps sending, within the monthly email limit of your plan.
Count messages per visit, not per client. A booking with a confirmation and two reminders is three WhatsApp messages before anything changes, and each one uses credits.
Before you rely on it
Check two things once a month:
- Client phone numbers are complete and have the country code. A number with a typo gets no WhatsApp message.
- Credits left. The Client messages screen in Manage shows the balance, and a Needs attention list when messages did not go out because credits ran out. A salon with 150 visits a month uses more than a solo nail tech.
Reminders do not guarantee that clients arrive. They remove the case where a client forgot, and they give the client an easy way to move the visit before your cancellation window closes.
